FLUTE POLICY

RATES

  • Area rental of ₹25,000/- if booking is for fewer than 100 persons
  • Vegetarian menu: ₹1000/- per head
  • Non-vegetarian menu: ₹1200/- per head

Conferences / Seminars

  • Rate: ₹1500/- per person
  • Hall charges: ₹25,000/- if persons are fewer than 100
  • Includes: Tea/coffee with cookies (morning), Veg/Non-Veg Lunch, Hi-tea
  • Audio-visual extra
  • Decoration cleaning charges: ₹5000/- + GST

TERMS & CONDITIONS

  • Bookings by members only for immediate family (parents, siblings, children, grandchildren). Not applicable for conferences/seminars.
  • 50% advance required within one day to confirm booking.
  • Balance to be paid at least a day before the event. Extras to be settled before or right after the event.
  • No tentative bookings held for more than 24 hours.
  • F&B service till 11:45 PM. Max 2-hour extension at ₹5000/hour (till 2 AM).
  • Any property damage must be paid for by the client before event ends.
  • Govt. taxes and service charges are extra.
  • Cancellation to be informed to GM at least 48 hours in advance.

CANCELLATION POLICY

  • Cancel between booking and 2 days before: 50% charges
  • Less than 2 days: 100% charges
  • No charges if cancelled due to natural phenomena

FOOD & BEVERAGE

  • Max 15% additional guests above guarantee allowed. Buffet may be closed after that.
  • Children charged full rates
  • Plates will be counted with RGC rep and organizer's signatory. Updates provided if guest count increases.
  • Beverages charged per consumption/package
  • Bar license required for setup from Excise Department
  • Service charges of ₹50/head per item on member-brought extras
  • Only one welcome/information panel at main gate. Self-mounted panels inside permitted if no damage or obstruction.
  • No damage to walls/ceiling by nailing, hammering, or pasting
  • Carpet protector must be used. No pasting on granite or existing carpet.
  • Follow all fire safety regulations
  • Start and vacate venue at agreed times. Smoking prohibited in carpeted areas.
  • Music/DJ allowed only inside till 10 PM. Max 65dB. Not allowed in open area.
  • Lighting and floral decoration allowed only by empanelled vendors with approval
  • Fireworks, firecrackers, gas blowers, sky lanterns, fanush strictly prohibited

EXTRA SERVICES

  • Club music system: ₹15,000/-
  • Electric heaters: ₹750/- (subject to availability)
  • Bar tender: ₹2500/- (subject to availability)
  • Driver/servant meals served separately on chargeable basis

CLEARANCES & PERMISSIONS

  • All necessary permissions must be obtained and submitted before the event
  • Use fire-retardant materials and follow fire department guidelines
  • Club to be contacted at least 1 month before for event planning (menu, decor, entertainment, beverages)
  • Event Orders (EOs) must be signed and returned before event; forms part of agreement
